Once you've selected a safari or received a custom itinerary, the booking process is straightforward:
A booking is confirmed only after we receive the deposit and issue a written confirmation. All bookings are subject to availability.
A non-refundable deposit of 30% of the total tour cost is required to confirm your booking. For gorilla trekking permits or other non-refundable third-party fees, full payment of those components may be required upfront.
The remaining balance must be paid no later than 60 days before your departure date. For bookings made within 60 days of departure, full payment is required at the time of booking.
Payments may be made by bank transfer, credit card (Visa, Mastercard), or other methods we make available. All prices are quoted in US Dollars (USD) unless otherwise stated.
We understand plans change. Where possible, we'll accommodate amendments to dates, accommodation, or itinerary at no extra charge if requested more than 60 days before departure.
Amendments requested within 60 days of departure may incur charges from third-party suppliers (lodges, airlines, permit authorities). We'll communicate any costs before proceeding.
All cancellation requests must be made in writing. The following cancellation fees apply, calculated as a percentage of the total tour cost:
Cancellation fees reflect the costs and commitments already made to lodges, parks, and service providers on your behalf.
Comprehensive travel insurance is mandatoryfor all clients. Your policy must cover trip cancellation, medical expenses and emergency evacuation, personal accident, and luggage loss. We strongly recommend a policy that includes “cancel for any reason” coverage.
Proof of insurance may be requested before departure. Imara Africa Safaris shall not be liable for any costs arising from inadequate or absent insurance coverage.
Groups of 8 or more travellers may qualify for discounted group rates. A single point of contact (group leader) is required for all communications and payments. Group deposits are non-transferable between members.
Name changes within a group are permitted up to 30 days before departure, subject to airline and lodge policies. Partial group cancellations follow the standard cancellation tiers above.
Child rates vary by accommodation and activity. As a general guide:
Exact child pricing is confirmed during the quotation stage. Note that some walking safaris and gorilla trekking have minimum age requirements.
